Normal Work Schedule: Monday - Friday 8:00am to 5:00pm; some weekend and holiday hours required.

Job Summary: The Passport and TSA Associate serves applicants for the University's Passport Acceptance Facility and TSA PreCheck enrollment service. Reviews passport and TSA applications and documents for accuracy, legibility, and compliance with all U.S. Department of State and TSA requirements. Executes passport applications by administering oaths, witnessing signatures, verifying identities, collecting fees, and preparing applications for transmittal. Assists customers with any mail-related issues. Loads, unloads, handles, and sorts packages.


Additional Department Summary: Provides advanced operational support to Campus Mail Service with specialized responsibility for the University's Passport Acceptance Facility and TSA PreCheck enrollment service. Primary point of contact and subject matter expert for passport and TSA operations, ensuring compliance with federal regulations, supporting daily financial accountability, assisting with training, and serving as the "go-to" resource for the Mail Operations Supervisor. May coordinate and review the work of other passport agents for accuracy and consistency. Performs standard mail processing and delivery duties to support the daily operations of Campus Mail Service.

Campus Mail Service is charged with providing high-quality, cost-effective mail and package service to support the University of Alabama’s business operations and student population. Campus Mail has two operational centers. The Kirkbride Mail Center services University departments as well as Greek houses and operates the University of Alabama Fingerprinting and Passport Facility. The Campus Mail Service Center, located in the UA Student Center, provides student mail and package services, including all parcel lockers, and operates a retail shipping facility.


Required Minimum Qualifications: High school diploma or GED and two (2) years of experience.


Additional Required Department Minimum Qualifications: Must maintain active certification as a U.S. Passport Acceptance Agent and TSA PreCheck enrollment agent.

Must have valid U.S. driver's license. Must be at least 19 years of age at time of hire and have an acceptable Motor Vehicle Report that is in compliance with University policies. Applicants under the age of 21 will have some driving restrictions.


Skills and Knowledge: Must have the ability to read, write, add, and subtract. Ability to follow verbal and written instructions. Basic computer and keyboard skills (data entry, portable data collection devices, etc). Ability to use various resources including computer systems/software applications. Must have the ability to learn the mail center's software systems, including the point-of-sale system, package tracking and storage system, and parcel locker system within the first few weeks of employment. Must have the ability to learn the location of campus buildings, parcel lockers, offices, and mailstop locations within the first few weeks of employment. Must have the ability to interact with the public in a respectful manner while providing exceptional customer service. Ability to work without consistent supervision and follow-up. Have a strong sense of urgency and a commitment to excellence. Strong knowledge of U.S. Department of State passport regulations and TSA identity verifications procedures. Ability to handle sensitive personal information with discretion and strict confidentiality. Excellent organizational skills and attention to detail. Ability to handle high-volume, deadline-driven environments. Ability to lift and transport packages up to 50 lbs. General knowledge of Microsoft Office software programs (Word, Excel, Internet).


Preferred Qualifications: Bachelor's degree. At least one year of experience in a position that involves mail sorting, mail delivery, or mail processing as part of primary job responsibilities. Advanced knowledge and proven track record in providing high quality customer service. Basic knowledge of postal regulations and procedures. Basic knowledge of Campus Mail procedures, as well as hardware and software used in mail processing.
